Information for tenants
Here you will find general information about your stay - arrival, departure, contract and general rules for living.
Arrival
Your accommodation
The accommodation has been checked by a representative from Stockholm University before your arrival. Should you have any questions or complaints, we ask that you send an email to researcherhousing@su.se within two days after your arrival.
You are expected to keep the accommodation clean and tidy throughout your stay and to leave it clean for the next tenant.
Collecting your keys
You collect your keys at the keydesk, which is located at Södra Huset, entrance B, floor 3. When you come from tha stairs, walk straight ahead through the corridor until you reach the key desk. Opening hours are Monday-Friday 08.00-16.00. If you cannot collect the keys during these hours you need to contact us to set up a separate appointment. Please note that you can only collect your keys on day stated on your rental contract.
Departure
We kindly ask you to empty your room/apartment and return the keys to the key desk between 9.00 and 10.00 on the date of departure stated on your contract.
A week before the expiration date of your contract you will receive information about cleaning instructions by email. Before leaving your apartment/room we ask that you follow the instructions for the respective accommodation area.
The tenant undertakes to clean the room/apartment and any adjoining communal storage facilities thoroughly and leave them free from any of her/his personal belonging. The tenant must compensate the landlord for any willful damage the tenant causes to the room/apartment of its fittings and reimburse the landlord any missing or lost fixtures. The tenant must return all keys upon departure.
Please remember that if you do not leave the apartment in satisfactory condition you will be charged a cleaning fee of SEK 990.
Contract Cancellation
Late cancellation of a contract before arrival is charged one monthly rent.
Termination of contract
- During the time of lease the tenant has a notice time of two calendar months.
- Notice to the apartment/room needs to be made by email.
- Giving notice less than two calendar months before moving out means that the tenant is obliged to pay rent for two calendar months from the date of giving notice.
- For docentbacken termination of contract is not possible the first 6 months after arrival, due to regulations from the property owner.
Changing accommodation
Tenants who wish to change accommodation within the organisation are charged a transfer fee of SEK 500.
Rent
The tenant agreees to pay the rent according to the information provided by the landlord. The tenant has personal responsibility for paying the rent on time and in full. If the rent is not paid in full or on time the tenant may be evicted.
- Rent is charged per night or per month (depending on accommodation area) in accordance with the starting and ending dates of the contract.
- The first rent invoice is posted to your apartment after your arrival or given to you when you pick up the keys.
- The following invoices are posted around the 16th with a due date the last day of the month.
- Rent is always paid in advance for the following month.
- The rent includes water, heating, electricity and internet.
- The rent may be raised during the lease period due to increased costs and/or yearly rent increases from our landlords.
Payment
Normally, rent is payed to a bankgiro or plusgiro number stated on the invoice. Below are the three different options on how to pay.
Bank office*
- Cash or card payment, but usually for a considerable service fee.
- Forex bank is recommended (www.forex.se ).
Small shops*
- Cash or card payment at shops with payment services via Kassagirot, look for the sign "Direkten".
Internet bank*
- Payment can only be made from swedish bank accounts and must be made in SEK.
* Please note that you must state your invoice number when paying. Stockholm University does not have OCR numbers.
Regulations
The tenant shall do everything necessary to maintain healthiness, good order and condition in the property. The landlord has the right to gain access to the apartment/room without delay to perform necessary inspections and carry out improvement measures that cannot be postponed without causing damage. The landlord guarantees the tenant accommodation during the whole contract period but cannot guarantee that it will be in the same room/apartment.
The landlord reserved the right to contact the tenant’s home University and their institution at Stockholm University in case the rent is not paid on time or in full, if the cleaning instructions have not been followed upon departure, if the keys are not returned on time, if the tenant does not pay for a lock change or if the tenant breaks any of the instructions or regulations provided by the landlord.
Tenants living in a housing area have to be considerate to one another and to the surroundings, and this is extra important when the common areas are shared. For most people this is a question of common sense. In some situations it can however be helpful with common rules to refer to. The rules below are what we ask our tenants to follow in order to keep a good ambiance.
- The tenant is not allowed to sublease the apartment/room. Unauthorized subletting of the apartment or room will cause an immediate termination of the rent contract.
- Smoking is not allowed.
- The tenant must not keep pets of any kind.
- Damage to the apartment/room or inventory needs to be reported to the Stockholm University immediately.
- Damage that is caused by the tenant or has become manifest only after the final inspection will be charged to the tenant.
- Problems in the apartment/room (electricity, plumbing, ventilation, etc.) need to be reported with no delay to the Stockholm University preferably by using the direct email service under section Maintenance service at our website.
- Bicycles or other objects must not be left blocking entrances or staircases.
- It is forbidden to flush down objects, which could block up the drains of the toilets or to empty cooking oil, coffee grounds, etc. in the kitchen sink.
- Follow the rules for the disposal of garbage for your area and leave your garbage in the respective containers.
- Objects left behind after a tenant's departure will be disposed of by Stockholm University.
- The managing director or a deputy must be allowed to the apartment/room when on duty.
- All copying of keys to Stockholm University’s rooms or apartments is strictly forbidden.
Disturbance
Music, dancing or other loud noise that might inconvenience other tenants must not be performed between 22.00 and 07.00. If the tenant breaks this rule they will receive a written complaint from the landlord and depending on the severity of the disturbance may result in an immediate termination of the rent contract.
Smoking
Smoking is not allowed in our rooms and apartments, nor in the common areas.
Pets
Pets are not allowed in most of our accommodation areas. If you have pets you need to contact the housing office for further advice and instructions.
Common areas
Everyone using common areas (shared kitchen, tv-rooms, toilets, showers, laundry rooms, corridors) is responsible for keeping them clean and leaving them in good order after use.
Household waste
Waste-bags with household waste must be securely tied so that they do not leak and cause a bad smell. They must not be placed in the stairwell but be placed in the assigned garbage room
Recycling rooms
Glass bottles, paper and plastic are to be separated from the regular household waste and placed in the assigned containers in the garbage room.
Keep the doors closed
Check that the front door closes behind you when you go in and out of the corridor and the building, to make it more difficult for burglars and uninvited guests to enter. This is very important when living in a corridor, where conflicts may arise if food or private belongings disappear.
Vermin
Any vermin (rats, ants, cockroaches, bedbugs etc) must be reported immediately to Stockholm University. Pest control is free of charge and will not cost the tenant anything.
Home Insurance
Stockholm University recommends all tenants to sign their own home insurance (hemförsäkring) regarding property and liability as the insurance coverage paid for by Stockholm University is limited to the furnishing of the apartment/room and does not cover the tenant's personal belongings or liability. Home insurances are sold by most insurance companies in Sweden.
Heating, hot water, and electricity
Unless otherwise agreed, the landlord will provide heating, hot water, and electricity except during the time when necessary overhauls or repairs are being carried out on boilers or other heating sources, heat exchangers, etc., and appurtenant heating/water pipes. The work shall, however, be performed as quickly as possible.
Internet
Is included in the rent (not wifi). The tenant must buy a router if they want wifi. If the tenant want a faster speed of internet she/he must contact the internet provider themselves and also pay for that add on. The tenant is not entitled to a rent reduction if the internet is not working for a few days. The tenant is also responsible to contact the internet provider themselves if the internet is not working properly. The landlord will provide the tenant with contact information to the internet provider.
Laundry room
The operations hours is posted outside the laundry room. The tenant must book the laundry room by going to the laundry room- the tenant cannot book the laundry room online. The tenant is responsible for following the rules and regulations in the laundry room and to clean up after themselves after using the facilities.
Emergencies
Lost keys
If you lose your keys you should immediately inform Stockholm University.
Change of lock and keys
The lock/s will be changed if keys are lost. The cost for the change of lock/s and keys varies between accommodation areas, from SEK 1000 - SEK 5300, and is to be paid by the tenant.
Locksmith
If you have lost your keys and need to get into your apartment outside our office hours, you can call an emergency locksmith who can open for you. The costs for the locksmith (and temporary lock) are paid by the tenant.
Locksmith: Södermalms Lås AB, phone 08- 08-640 65 00 (approximate cost SEK 1000 plus a SEK 500 fee for change of the lock).
Please note that even if the locksmith has installed a temporary lock, it will have to be replaced with a regular lock by the landlord and the costs will be charged to the tenant.
Plumbing, heating, sanitary, elevator and garage door problems after office hours
The on-call service after office hours must only be contacted for problems that risk causing damage to property or person if they are not taken care of immediately. When there is no immediate danger, you should wait and contact Stockholm University during office hours. Costs for consulting emergency service for non-urgent issues will be charged to the tenant.
