Discrimination and harassment act
Harassment, including sexual and other forms, is unacceptable at the department. If harassment occurs, it must be addressed promptly to allow the affected individual can resume their regular activities as soon as possible.
When an incident is reported by the affected person
Any employee approached about an incident is not required to investigate or determine guilt; a subjective account of the harassment from the affected person is enough to initiate action.
If an employee at the department becomes aware of harassment that has not been addressed, they are required to:
- Inform the person being harassed about the department’s policy and emphasize how seriously the department views such incidents.
- Report the incident. Notify one of the designated contacts below to ensure the matter is properly addressed.
The contact person and department head must be informed, and the incident documented, even if the affected individual wishes to remain anonymous and does not want to pursue the case. If anonymity is requested, all parties involved must remain anonymous.
Process
- Obligation to report. Contact persons must inform the Department Head, who will record the incident in compliance with departmental policy.
- Informing the affected person. The contact persons and Department Head are required to explain the procedure for filing a formal complaint and outline any actions the department and disciplinary committee may take.
- Hearing the accused party. The Department Head will meet privately with the accused to hear their account. If the incident appears minor or potentially due to a misunderstanding, an agreement may be enough to resolve the matter.
- Pursuing the case further. Should the affected person wish to pursue a formal case, the Department Head should involve SUs Personnel Office, which will coordinate with the students’ union as needed.
- Communicating decisions. The Department Head is responsible for promptly sharing the disciplinary committee’s final decision with the Department Board and any personnel involved. If the complaint concerns a student, other students should be informed if the complainant wishes.
Follow-up procedure
The designated contact person or Department Head will schedule follow-up meetings with the affected individual approximately one week, one month, and six months after the disciplinary committee’s decision or any reached agreement. During these meetings, they will discuss:
- Whether the harassment has ceased.
- How the affected individual feels about the department’s response.
- If an agreement was made, whether the harasser has complied with it.
- If the affected individual has experienced any further harassment due to the complaint process.
If the affected individual feels uncomfortable discussing these matters with the contact person or Department Head, they may appeal directly to SU’s Personnel Office.

Work-life balance means having enough time away from work to rest and recharge, along with the ability to keep personal and work life separate. Achieving this balance requires effective self-management, time and stress management, a manageable workload, and reasonable deadlines—a responsibility shared between the employee and the workplace.

The department provides a rest room in room M330 at KÖL for those who feel unwell, are pregnant, injured, or need a break. To access, please contact the Student Office at KÖL for the key and provide basic information.
