Processing of personal data when you apply for a job at Stockholm University

When you apply for a position with us, you agree to your personal data being registered and processed by Stockholm University for recruitment purposes.

The information provided will be processed in accordance with the EU’s General Data Protection Regulation (2016/679) and associated national legislation.

 

Processing of personal data

The information you provide in your application will be registered in Stockholm University’s recruitment system. We will process the following personal data: name, date of birth, sex, contact details (e-mail address, telephone number, address), answers to selection questions in the application form, CV, cover letter, and other attached files.

 

What will the information be used for?

Stockholm University will use the information to process your application. Your application will be processed via a candidate profile that collects the information you provided in your application.

 

Who can access the information?

The information provided will be accessible to those who are working on the recruitment process in question. Stockholm University is a government agency, and, pursuant to the principle of public access to official records, your application documents constitute public documents. If you have a protected identity, you should contact the contact person specified in the advertisement.

 

For how long will the personal data be saved in the recruitment system?

All personal data will be deleted from Stockholm University’s database in the recruitment system two years after the recruitment process has ended for the position you applied for most recently.

If you have only subscribed to our job advertisements and end your subscription, your account will be deleted from the system after one month.
 

 

Legal basis

The legal basis for processing your personal data is that you voluntarily provide the information to us for the purpose of entering into an employment contract. Once we have received your application, we will process your personal data in accordance with our obligations under the Public Employment Act (1994:260), the Public Access to Information and Secrecy Act (2009:400), the Archives Act (1990:782), etc.

 

Your rights

Stockholm University is the data controller for the processing of your personal data. You have the right to contact us to request information about the data we have on record about you or to otherwise exercise your rights under the data protection regulation in order to, for example, request a correction or transfer, that we limit the processing, or that we delete your personal data.
