Erasmus+ mobility grant

Stockholm University students who have been selected and nominated to participate in Erasmus+ exchange may apply for an Erasmus+ mobility grant.

All students participating in an Erasmus+ exchange must submit an online form in the application portal to apply for the grant. Information about the grant, including how to apply for the same, is found below.

Erasmus+ mobility grant

The Erasmus+ grant is calculated based on the length of the physical mobility and your host country. You are only entitled to receive an Erasmus+ grant for the days you are physically present and studying in the host country, not for virtual mobility.

The scholarship payment is made in two instalments:

  1. The first payment is made at the beginning of your exchange upon submission of the relevant documents (e.g. Grant agreement). This amounts to 70 percent of your planned scholarship.
  2. The remaining sum is disbursed after the end of the mobility, upon completion and submission of relevant documentation. The final amount may then be adjusted, based on possible changes in the length of the mobility.

Grant payments are made at the end of the month, around the 25th. In general, relevant forms and documentation need to be submitted by the 1st of each month in order to be included in the following month’s payment round. 

Travel support grant and travel days

The travel support grant is calculated based on the distance between the place of origin (Stockholm) and the city in which the Erasmus+ studies will be carried out and can be higher depending on whether you travel in an environmentally friendly way (Green travel) as per the table below:

When the distance to the exchange destination is less than 500 km from Stockholm, participants are expected to travel in an environmentally friendly way. You indicate in the online application how you plan to travel and the travel support grant will be calculated based on this information.

Criteria for the higher travel support grant for green travel:

  • You must travel in an environmentally friendly way both to and from the host country. For instance this could include travel by train, bus or carpooling (with at least two people in the car). Please note that travelling by ferry does not count as green travel. If you have questions regarding if your means of travel counts as green travel, please contact erasmusutbyte@su.se
  • After the end of the mobility you need to provide documentation (e.g. tickets) showing that you have travelled in an environmentally friendly way to and from the host country.
  • If you carpool, you need to submit a carpooling certificate that includes contact details to the persons you traveled with.

Green Erasmus

Preliminary travel days are added to mobility grant for travel to and from the host city based on the travel means indicated in the application. Travel days are only paid if the student arrives in the host city at least one day before the exchange begins and travels backs to Stockholm at least one day after the exchange has ended.

For non-environmentally friendly travel up to 2 travel days (1 day to and 1 day from the host city) can be granted and for environmentally friend travel up to 6 travel days (3 days to and 3 days from the host city).

The travel itinerary should be reasonable and the most direct route possible between the origin to the destination.

The final number of travel days will be determined after the exchange has ended and the supporting documents have been submitted. If you are unable to submit correct and complete documentation, the number of travel days will be adjusted or deducted from the final grant payment.

Please note that granted travel days do not count as part of the mobility period, that is, they cannot be counted as part of the minimum requirement for the number of days (minimum 60 days for semester long exchange).

Extra grant for students with fewer opportunities

Inclusion is one of the main priorities of the Erasmus+ programme and the aim is for more people with fewer opportunities or underrepresented groups to participate in international exchanges and mobilities.

In addition to the mobility grant you can apply for an extra grant in the form of a top-up for students with fewer opportunities:

  • Semester (long) exchange: top-up of 250 euro per month

The top-up grant can only be granted once for one or more of the following categories:

Students who have minor (underage) children and are participating in an Erasmus exchange, can receive an extra top-up in addition to the mobility grant regardless of whether the child accompanies the student during the studies abroad or not.

You apply for the top-up for children in the online application where you also need to upload a family certificate from the Tax Agency that shows that you have children.

Students who have minor children and are participating in an Erasmus exchange and where the extra costs because of this exceeds the amount of the top-up can apply for up to 100 percent coverage for actual costs. Expenses may include additional costs that the student or may have that are not covered in another way, for example childcare and travel costs for an accompanying child.

Students with long-term disabilities, including disabilities caused by physical or psychological illness can receive an extra top-up in addition to the mobility grant.

You apply for the top up for disability in the online application and you will be contacted by email with more information about the necessary documentation to be submitted.

Checklist for students with a disability going on an exchange

If additional costs are expected during the stay abroad in relation to the disability, that exceed what a top up can cover, it is possible to apply for up to 100 percent coverage for actual costs. Additional costs mean the increased costs incurred by the student or the host organisation that are not financed in another way. This can for example be transportation, teaching aids, adapted accommodation, assistants, or medical follow-up in the host country.

Students who currently have or previously have had protection status in Sweden, either a refugee status or a subsidiary protection status, can receive an extra top-up added to the mobility grant.

You apply for a top-up for protection status in the online application where you also need to upload a decision from the Swedish Migration Agency.

Application process

There are several steps to conclude in your application for Erasmus+ mobility grant. Ensure to read the following carefully, including the steps during and after your mobility.

Before your exchange

Students who participate in an Erasmus+ exchange must take a mandatory Online Language Support (OLS) language test in the main language of instruction.

Language assessment and courses for outgoing Erasmus students

Application periods for the Erasmus+ grant:

  • 15 – 31 May (for exchanges with start in the autumn semester)
  • 15 – 30 November (for exchanges with start in the spring semester)

Apply through Mobility Online. Please note that the application is only available during the application periods.

If you have not already uploaded your Letter of Acceptance or equivalent from your host university you need to upload this. The start date in the application is the first day you attend the host university, that is, the day of the first course, a welcome event, or a language course. The end date in the online form is the last day you attend the host institution for studies, such as the last day of the course or the last day of an examination period (excluding re-takes of exams). 

If the dates are not stated in the Letter of Acceptance, a separate document showing them is also needed, for example a screenshot of an email or an academic calendar.

If you have not received your Letter of Acceptance you still need to complete the application within the application period and can add the Letter of Acceptance later.

Before your exchange, you must create a Digital Learning Agreement (DLA) that states which courses you will take abroad, and how the credits will be transferred. The Digital Learning Agreement is created in Mobility Online. It must be approved by you, the home institution and the host university before the start of your mobility. Please direct any questions you may have regarding the Digital Learning Agreement to your international coordinator at your department. Your learning agreement must clearly show that you will study full-time at the host university (Table A) and how these courses can be credited (Table B) after completion. Full-time studies comprise the equivalent of 30 ECTS credits for one semester.

After you have submitted a complete application and it has been processed, you will receive an Erasmus+ Grant Agreement contract.

The contract must be signed before the start of the mobility period. If there is no signed contract, no scholarship payments can be made.

If you apply in time, meet the admission requirements and submit a complete application, you can expect to receive the contract ca 1 month before the start of your exchange.

The Erasmus+ Student Charter contains information about your rights and obligations as an Erasmus student.

During your exchange

  • If you need to change courses after you have started your exchange, this should be done as soon as possible. Do not forget that both your home and host department must approve the new course selection by completing the ‘During the Mobility’ section of your Learning Agreement.
  • If your exchange period is reduced or extended, you must contact erasmusutbyte@su.se and the responsible international coordinator at your home department as soon as possible.
  • If you are to extend your exchange, you must send a written agreement between all parties (the student, the home department and the host university) and a new Letter of Acceptance to erasmusutbyte@su.se. This must be done no later than one month before the original exchange period ends.
  • Please note that extensions are not granted retrospectively. All documents (new Learning Agreement and Grant Agreement) must be completed before the original exchange period has ended.
  • In case of interruption (within 60 days for long-term study period) you may be required to repay a part of, or the full scholarship sum.

The Certificate of Attendance confirms the dates that you have been studying at the host university and in the host country and must be completed, signed and stamped by the host university at the end of your study period (no earlier than five days prior to the end of the study period). Note that only the period in the host country for participation in studies and ordinary exams can be covered by the Erasmus+ grant and that travel days to and from the host country cannot be included in the mobility period.

After your exchange

Upload your signed Certificate of Attendance in Mobility Online. If the duration of the exchange is shorter than planned your Erasmus+ grant will be re-calculated

When you have completed your exchange, a link to a questionnaire called the Erasmus+ Participant Report Form will be sent to you via email. The questionnaire is mandatory for everyone who has been participating in an Erasmus+ mobility. Therefore, please contact the Erasmus officer if you have not been sent this link later than one month after your exchange.

In addition to the questionnaire, your department may require additional reports. Therefore, check with your international coordinator that they have received all the necessary documentation.

Also note that you will not receive your remaining scholarship until you upload your signed Certificate of Attendance and completed the Erasmus+ Student Participant report.

Once you have completed your exchange studies and received your Transcript of records from your host university, you must apply for credit transfer at Stockholm University. Contact your home department for further information.
