Erasmus+ mobility grant

Stockholm University students who have been selected and nominated to participate in Erasmus+ may apply for an Erasmus+ mobility grant, given that the requirements are met and funding is available. Apply for the grant online as soon as the partner university has accepted your application.

All students participating in an Erasmus+ exchange must submit an online form in the Erasmus+ portal before deadline. 

Application for Erasmus+ mobility grants for exchange studies:

  • 15–31 May (for exchanges with start in the autumn semester)
  • 15–30 November (for exchanges with start in the spring semester)

The Erasmus+ grant amount depends on the length of your study period and your host country. Note: financial support is only granted for physical mobility, not for days of virtual mobility. 

 

The Erasmus+ grant is calculated based on the length of the physical mobility and your host destination. You are only entitled to receive an Erasmus+ grant for the days you are physical present and studying in the host country, not for virtual mobility.

Amounts determined by the Swedish Council for Higher Education (UHR). One month counts as 30 days.

The scholarship payment is made in two instalments:

  1. The first payment is made at the beginning of your exchange upon submission of the relevant documents (e.g. Grant agreement). This amounts to 70 percent of your planned scholarship.
  2. The remaining sum is disbursed after the end of the mobility, upon completion and submission of relevant documentation (e.g. attendance certificate confirming the exact dates of your exchange, see below). The final amount may then be adjusted, based on possible changes in the length of the mobility.

Grant payments are made at the end of each month, around the 25th. In general, relevant forms and documentation need to be submitted by the beginning of each month in order to be included in the following month’s payment round. 

 

Students who have minor children and are participating in an Erasmus exchange, can receive an extra top-up added to the original grant amount and regardless of whether the child accompanies the student during the studies abroad or not.

  • Semester long mobility (60-360 days): A top-up of 250 EUR/month
  • Short term mobility and short blended mobility including BIP (5-30 days): A top-up of 100 EUR for mobilities with a duration of 5-14 days and 150 EUR for mobilities with a duration of 15-30 days

You apply for the top-up for children in the Erasmus grant application where you also upload a family certificate from the Tax Agency. 

Students who have minor children and are participating in an Erasmus exchange and where the extra costs because of this exceeds the amount of the top-up can apply for up to 100 percent coverage for actual costs. Students with long-term disabilities, including disabilities caused by physical or psychological illness can receive an extra top-up added to the original grant amount.

  • Semester long mobility (60-360 days): A top-up of 250 EUR/month
  • Short term mobility and short blended mobility including BIP (5-30 days): A top-up of 100 EUR for mobilities with a duration of 5-14 days and 150 EUR for mobilities with a duration of 15-30 days

Students apply for the top-up for disability in the Erasmus grant application and will thereafter be contacted with more information on mandatory documentation.

If there are extra expenses during the exchange, due to disability, not covered by the top-up, students can apply for up to 100 percent coverage of actual costs. Expenses may include additional costs that the student or the host university may have that are not covered in another way. This can for example be transportation, teaching aids, special accommodation, assistants, or medical assistance in the country of the students host university.

Students who wish to apply for funding for extra expenses due to disability should contact their International Coordinator or the Erasmus team at the International Office as soon as possible for more information on how to apply. 

Checklist for students with a disability going on an exchange

 

Environment and fight against climate change is one of the priorities of the new Erasmus+ programme 2021-2027. You can apply for a so called top-up for green travel, a one-time amount of 50 EUR awarded to participants who travel in an environmentally friendly way to and from the host country. You can for instance travel by train, bus or carpooling (at least 2 persons) and both the trip to and from the host country must be green. In addition, you can receive funding for up to two travel days before and after the study period abroad, if needed.

Criteria for top-up for green travel: 

  • You will travel in an environmentally friendly way to and from the host country for instance, you can travel by train, bus or carpool (at least two people). Please note that travelling by boat does not count as green travel.
  • After the end of the mobility you need to provide documentation showing that you have travelled in a sustainable way to and from the host country.
  • If you travel by carpooling, you need to submit a confirmation form that can be downloaded from the Erasmus+ portal.
  • Travel days are only granted for travel before the start date and after the end date stated in your Certificate of Attendance.
  • Granted travel days are not counted as part of the mobility period i.e. cannot be counted as part of the minimum requirement of 60 days in order to keep the scholarship

 

 

Before your exchange

Below, you will find important information about your exchange.

Students who participate in an Erasmus+ mobility that lasts longer than 13 days must take a mandatory language test in the main language of instruction before the exchange begins.

The Erasmus+ online-form for Erasmus+ exchange studies studies to apply for the Erasmus+ grant is published:

- Please note that the application form is only available during the application periods.

In the online form, you must upload your Letter of Acceptance or equivalent from your host university. The start date in the online form is the first day you attend the host university, that is, the day of the first course, a welcome event, or a language course. The end date in the online form is the last day you attend the host institution for studies, such as the last day of the course or the last day of an examination period (excluding re-takes of exams). If the dates are not stated in the Letter of Acceptance, please attach a document showing them, for example a screenshot of an email or your Academic calendar.

Please contact erasmusutbyte@su.se before deadline if you experience technical problems when filling out the online form or if you have not received your Letter of Acceptance yet.

Before your exchange, you must have set up a Learning Agreement, stating which courses you will take abroad and how the credits will be transferred. The Online Learning agreement can be completed at learning-agreement.eu and must be approved by you, the home institution and host university before the start of your mobility. A copy of the signed Learning Agreement should be uploaded in the Erasmus+ Student Portal.

After you have submitted a complete application and it has been processed, you will receive an Erasmus+ Grant Agreement contract via email, if you take part in physical mobility. If you apply in time, meet the admission requirements and submit a complete application, you can expect to receive the contract by email in July (prior to the autumn semester) or December (prior to the spring semester).

The contract must be signed and uploaded before the start of the mobility period. If there is no signed contract, no scholarship payments are made.

During your exchange

Below, you will find information that is important to know during your exchange.

  • If you need to change courses after you have started your exchange, this should be done as soon as possible. Do not forget that both your home and host department must approve the new course selection by completing the ‘During the Mobility’ section of your Learning Agreement.
  • If your exchange period is reduced or extended, you must contact erasmusutbyte@su.se and the responsible international coordinator at your home department as soon as possible.
  • If you are to extend your exchange, you must send a written agreement between all parties (the student, the home department and the host university) and a new Letter of Acceptance to erasmusutbyte@su.se. This must be done no later than one month before the original exchange period ends.
  • Please note that extensions are not granted retrospectively. All documents (new Learning Agreement and Grant Agreement) must be completed before the original exchange period has ended.
  • In case of interruption (within 60 days for long-term study period) you may be required to repay a part of, or the full scholarship sum.

The Certificate of Attendance confirms the dates that you have been studying at the host university and in the host country and must be completed, signed and stamped by the host university at the end of your study period (no earlier than one week prior to the end of the study period) and should be submitted in the Erasmus+ portal.

After your exchange

Below, you will find information about what to consider when coming home after your exchange.

Upload your Certificate of Attendance in the Erasmus+ portal.

The Certificate of Attendance should be submitted in the Erasmus+ Student Portal, via the form Erasmus+ SMS Certificate of Attendance. If there have been any changes in the duration of the mobility, your Erasmus+ grant will be re-calculated.

When you have completed your exchange, a link to a questionnaire called the Erasmus+ Participant Report Form will be sent to you via email. The questionnaire is mandatory for everyone who has been participating in an Erasmus+ mobility. Therefore, please contact the Erasmus officer if you have not been sent this link later than one month after your exchange.

In addition to the questionnaire, your department may require additional reports. Therefore, check with your international coordinator that they have received all the necessary documentation.

Also note that you will not receive your remaining scholarship until you upload your signed Certificate of Attendance (including proof of physical mobility) and completed the Student Participant report.

Once you have completed your exchange studies and received your Transcript of records from your host university, you must apply for credit transfer at Stockholm University. Contact your home department for further information.
