All employees at Stockholm University who have a monthly employment have an automatic login (via Single Sign On) to Amex GBT's online tool, NEO Online.

If you don’t have a monthly employment and need to book a trip, contact the travel function at your department.

Information on bookning via Amex GBT

Some differences between NEO Online and Traveler Care (personal service):

  • Booking via personal service cannot be cancelled in NEO Online but is visible there (not train bookings).
  • When booking via NEO Online, personal service can rebook and cancel. It is then not possible to make new changes in NEO Online by yourself.
  • You can rebook and cancel in NEO Online right up to departure (not train bookings).
  • A form needs to be used when booking guest via personal service.
  • Air taxi can only be booked via personal service (will come in NEO Online during 2024).
  • Night trains can only be booked via personal service.
  • Complex trips and round trips are booked via personal service.
     

International Train Travel

International trains are booked via Traveler Care:

  1. Book in time. However, tickets are usually released two months before departure.
  2. Email your booking to se.travel@amexgbt.com.
  3. Write "International train journey/tågresa utrikes" in the subject line.

By emailing, it makes it easier for the travel agency to search for the best options for your train journey. Please note that booking international trains may have a longer processing time as there are different conditions in different countries.
 

Proactive Traveler Care

A message is automatically sent to you as a traveller via email and SMS, if your flight is cancelled, delayed by more than 60 minutes or a potential missed connection.

  • You answer YES, if you need help.
  • One of our travel agents will be notified and call you up.
  • You will also be contacted via the Amex GBT Mobile APP.
     

Amex GBT mobile app

Download the app “AMEX GBT Mobile” in App Store or Google Play by searching "AMEX GBT Mobile". Follow the instruction on your phone. It is important that you use your Stockholm University's email address. You can log in to Amex GBT APP via Single Sign One (SSO).

To activate booking in NEO Online:

  • Select "Book your trip" and follow the instructions.
  • Log in to NEO and select you profile in the top right corner.
  • Pick you unique QR code and scan the code.
  • Click on "Activate".
  • Now you are ready to book.
     

Good to know

  • Hotel
    In Sweden, always book hotels that are procured by the Legal, Financial and Administrative Services Agency, they are marked with "three hearts" and "SU rate".

    For trips outside of Sweden, always bring a credit card with you –
    e-vouchers are always issued, but for trips abroad the hotel can still refuse and demand payment at the location.

  • Flight
    Airlines procured by the Legal, Financial and Administrative Services Agency must be booked in the first instance. These are marked, at Amex GBT, with "three hearts". They are linked to Diners TAC travel account. 

    For bookings with low-cost airlines, e.g. Easyjet, a credit card is required to be able to book your trip. The compensation is then requested against a receipt in Primula.

    There are airlines that do not accept Diners TAC travel account as a payment method. This means that first after the trip is booked, you will receive a message that a payment card must be added to the Profile in order for the booking to be approved. The compensation is then requested against a receipt in Primula.

    Booking "According to policy" means that it is an approved class, i.e. Economy class.

  • Generally
    The profile should be updated and match your passport. All names must be spelled correctly.

    It is important that your mobile number is included in your profile.

    Update your credit card in your profile, if you're going to book low-cost airlines. Accept the "privacy statement" in your profile.

    For more complex bookings that cannot be ordered through NEO (for example, flights where the return flight is not from the same airport) or for assistance with rebooking/cancellation of a trip that has already begun, regardless of whether it has been ordered through NEO or via personal service, please contact Traveler Care.

  • How will my tickets and documents be delivered?  
    Air – Electronic tickets will be sent via email.
    Hotel – Reservations will be sent via email.
    Rail – Electronic tickets will be sent via email.
     
  • What kind off Itinerary Confirmation can I expect?
    You will receive an email confirmation of your itinerary each time you make a booking with Amex GBT. Please, ensure that you check your itinerary upon receipt.
     
  • How will I be charged for my travel bookings?
    Your air/rail/hotel/car rental/air taxi and Arlanda Express will be charged to your Company Business Travel Account. You will pay your low-cost carrier bookings with your credit card, as some airlines do not accept payment with Diners Tac travel account.
     
  • Who should I contact if I want to provide feedback?
    Please call Amex GBT Travel Care if you have any feedback to provide. All feedback will be acknowledged, and the Customer Service team will ensure a follow up response and/or a resolution is provided within 5 business days.
     
  • What do I do if I need a refund?
    Please call or send an email to personal service as soon as possible so that the refund process can be started.
